Marketplaces are tough, and Traxlo’s was no exception.

Thousands of payments, invoices, countless legal entities, and a heap of marketplace-specific metrics to track.

In the early days, Paul Vezelis, the CEO of Traxlo, turned to freelance financial help to navigate this maze. But as their business began to scale, it was clear that manual work and disjointed systems weren’t going to cut it anymore. Paul knew it was time to level up.

The financial system? Google Sheets. And while it worked for a while, it quickly became more of a burden than a tool.

As Traxlo expanded into new countries, managing finances became harder. Different systems. Different currencies. A fundraising round on the horizon. And more financial data than ever.

We built Traxlo a demand‑side finance stack: real‑time data pipes, custom metrics, and an investor‑ready model, so they finally saw what mattered.

Custom-built financial analytics system

We began by creating a tailored financial analytics system that aligned perfectly with Traxlo’s marketplace structure. Unlike traditional buyer-seller metrics, their platform focused on the demand side. That meant we had to dig deep into metrics like the number of completed tasks, task profitability, fill rates, and regional dynamics. This was no standard setup. We worked with them to define what mattered most in terms of business metrics, ensuring they had clear visibility into their operations.

Real-time data integration and automation

We connected their internal systems directly to Fuel. That gave them instant visibility into what was happening, plus a custom tool for marketing spend and conversion forecasting — so they could plan future campaigns and growth from one place.

Custom financial model for fundraising

When Traxlo first approached us, they were using an old financial model that was confusing and didn’t resonate with investors. So, we built a brand-new financial model from scratch, tailored specifically to their business. We broke it down by customer, product, and market, making it clear and easy to understand for investors.

Optimizing profitability and cost management

We conducted a thorough expense analysis and helped Traxlo get a better understanding of where their money was going. We optimized their marketing spend by identifying inefficiencies and streamlined their operations. For the first time, Traxlo had full visibility into their product profitability, including performance metrics for each task and region. This allowed them to make smarter decisions, allocate resources more effectively, and focus on the most profitable areas of the business.

Detailed product and expense analysis

Next, we tackled the product performance side. We implemented a product-wise analysis, giving ColdIQ a deep dive into every revenue stream — from their core agency business to the recently relaunched coaching program. They could now track revenues, margins, and expenses for each product, pinpointing areas for improvement.

Cash flow forecasting

To provide better foresight, we introduced cash flow forecasting. This gave Traxlo the ability to track their actual spend against what was originally planned, helping them avoid future cash crunches and ensure they were spending in line with their financial model.

The custom dashboard we built for Traxlo consolidated all financial data into one place, giving Paul and his team instant access to key metrics. Now they can easily track revenue, expenses, and margins in real-time, making data-driven decisions. The dashboard also allows the team to share financial data with stakeholders in one click.

€1.6M Seed round fundraising

Paul didn’t need to spend hours preparing reports; he could simply share a link with investors to let them dive into the data themselves. This transparency helped Traxlo successfully close their Seed round, with our system playing a major role in the process.

Profitability optimization

By analyzing task and region performance, we identified inefficiencies in certain types of tasks that were hurting margins. We helped Traxlo set a gross margin target, and through detailed reporting, we showed them where to optimize costs. The result: Fill Rate increased, contribution per tasker grew, Traxlo’s revenue doubled since the start of our partnership.

Financial process improvement

We revamped Traxlo’s financial processes by implementing a structured month close process, validating accountant data, and creating Plan vs Actual analysis to track performance against targets. This sped up decision-making and gave them confidence in their financials.
